COVID 19 PROCEDURES
COVID precautions will be enforced.  All events will follow all guidelines set in place by the North Carolina Department of Health and Human Services as a baseline for safety precautions AND those required of events associated with FIRST and North Carolina A&T state University.  The current restrictions are available at  https://www.nc.gov/covid-19/staying-ahead-curve​ .

Facility Use
Due to precautions in place regarding COVID-19, there are a few things that are different from normal in-person events.  Please observe the following rules:

  • Please do not bring any team members or coaches that have tested positive for COVID-19 in the past 14 days and/or are experiencing COVID-19 like symptoms.  This is for the health and safety of everyone attending, participating and volunteering.
  • Only Teams and Coaches will be permitted in the Pit Area.  No parents, siblings or guests.
  • All hallways must remain clear.  Teams should consider the pit area or outdoor space as their gathering area.
  • Spectators, parents and siblings may sit in the stands and are not permitted on the floor in the competition area.
  • Some locations may or may not have concessions.  Please ask all students to pack snacks and lunch.

NOTE: DUE TO THE INCREASE IN COVID-19 CASES, THERE WILL NOT BE A TEAM EXCHANGE AT THE STATE TOURNAMENT. 

DIGITAL CHECK-IN
Coaches will receive a link via email on Friday, January 14th for Digital Check-in.  A response is required.
Digital check-in will require the first and last names of all team members, coaches/mentors, and spectators.

SPECTATOR POLICY
Teams participating in-person robot runs may have up to 10 guests (spectators) on tournament.  This includes parents and siblings.  Please wait to submit the form until you know for sure who your guests will be.

  • All guest names must be entered in to the digital check-in form on the Friday before in-person robot run day, deadline 5:00pm.
  • Spectators must enter the building WITH THEIR TEAM MEMBERS at the noted time.
  • Upon arrival at the venue, guests will be required to complete the COVID-19 VERIFICATION, wear a mask, and wear the provided wristband showing they have been granted access.
  • All guests will be required to a mask at all times, regardless of vaccination, medical status or religious beliefs.  Those that do not comply will be asked to exit the facility.
Note: Anyone experiencing COVID-19 related symptoms will not be permitted to enter the facility.

Award Ceremony
The award ceremony will be held virtually in Hopin at 3:30pm. 

For in-person teams, 
participation medals and certificates will be distributed as teams exit the facility after robot runs.  Awards (if applicable) will be mailed to teams at the address noted on the award mailing list form submitted in December 2021.  Please let us know if we should use a different address.

NOTES REGARDING THE NEW FORMAT/SCHEDULE
WiFi Available - No
  • Please arrive ON TIME and have verification information ready (vaccination card with proof of full vaccination OR proof of negative COVID-19 test)
  • Teams AND their spectators should arrive TOGETHER. Each team may have up to 10 spectators (this includes small children).
  • Each team will be directed to their assigned area.  Masks must be worn at ALL times.
  • Each team will have an area to themselves that includes: 1 competition table/field kit, spectator seating, pit table, and 1 power outlet.

Please DO NOT bring food and/or unnecessary items.  Your team will only physically be on-site for 2 hours (max).  There will not be time for eating, and ALL attendees are to keep their masks on at ALL times.  If your time slot falls during the lunch hour, we suggest grabbing lunch BEFORE entering the facility.

  • The in-person session will begin with Practice Time with the Referee & a brief Opening Greeting from the NC FLL Planning Committee.
  • Each team will complete their Robot Performance Runs on ONE competition table, and will only interact with ONE referee.
*This evens the playing field with virtual teams and the shared mission.

  • The session will still be FILLED with music, high-energy engagement, and fun!  However, teams will NOT mix with other teams.
  • Robot Performance Scores will be shared VIA EMAIL after the in-person session has concluded.
  • The State Championship LEADERBOARD will be available at: https://www.ncfllandftc.com/state-leaderboard.html 
  • Upon exiting the gymnasium, teams will have the opportunity to take TEAM PHOTOS, receive their Participation Packages.
  • A Food Truck will be available outside of the exit area for on-site concessions as teams EXIT their in-person session.

NOTE: If you have pre-ordered lunch, there will no longer be a place to sit and eat lunch inside the gym on Sunday.  If you would like to cancel your order, please email the caterer back directly.  If you decide to keep your order, please let me know so we can be sure it is available at the end of your session.

INCLEMENT WEATHER PLAN …
As some of you may know, the weather report is calling for a 50% chance of snow in the Triad area on Saturday night with temperatures around freezing.  We will make the call Friday regarding whether to move forward with in-person runs or switch to virtual for Sunday.  This decision will be made with the safety of all team members, volunteers and staff in mind.  The revised in-person plan noted above, allows for a smooth transition to virtual, should the need arise.  In the event we have to go virtual due to inclement weather:
  • ALL teams will switch to LIVE VIRTUAL Robot Performance Runs with Referees on Sunday, January 16, 2022 online in Hopin.
  • Teams will receive an email on Friday, January 14, 2022 around 5:00pm with instructions on how to switch to the virtual format.
  • The live virtual robot performance run sessions will be the SAME as the in-person schedule noted above.
  • The award ceremony will take place in Hopin at 3:30pm.

REMINDERS
  • This is an official qualifying event.  Coaches are required to stand behind the designated line during robot runs at all times.   Coaches are not permitted to touch the robot. Please let the students do the work.  Laptops are not permitted during official robot runs.
  • Parents must remain in the designated spectator area.
  • All rounds now include a robot inspection prior to the beginning of the run.
  • The Referees and Judges will be observing for gracious professionalism (GP).  A GP score will be given to each team, which will be factored in to the overall deliberation at the conclusion of the tournament.  The GP score is for judges only and will not be shared with teams.

CARBON SCORE SHEET
Team will review the field with the referee at the end of each round.  Once the review is complete, each team must select one member to sign the score sheet before leaving the table.  The team will be provided with a carbon copy of the score sheet for their records. 
Note: Robot Performance scores will be emailed to coaches after their in-person session concludes.

Note: The leaderboard is not an indication of award status.  It only reflects robot runs scores.  Scores cannot be changed after team signature.
